Privacy Policy for Your Faith Inventory (YFI)

This Privacy Policy explains how Your Faith Inventory (“YFI,” “we,” “us,” or “our”) collects, uses, stores, and shares personal information from all users of YFI. The term “users” includes both respondents (those completing YFI inventories) and administrative account holders (such as community managers, group managers, and mentors). This policy applies only to users within the United States.
1. Information We Collect
- Personal Identifiers: Name, email address, date of birth (used to calculate age).
- Demographic Information: Gender, church service attendance, religious affiliation.
- Faith-Related Responses: Answers to inventory questions about beliefs, practices, and faith experiences.
- Optional Identifying Data: A user's faith community may provide identifying information for administrative purposes.
- Administrative Account Data: For administrative users, we store login credentials, account details, and contact information.
- Technical Data: We do not currently collect IP addresses or browser/device details, but may in the future to prevent automated abuse.
Note: Because responses may relate to religious beliefs, the data we collect may include sensitive personal information.
2. How We Use Your Information
- Summarize and report inventory results to authorized leaders in the relevant faith community or group.
- Enable administrative users to manage communities, groups, and reports.
- Help mentors or ministry staff provide faith-related guidance and support.
- Evaluate and improve YFI's effectiveness.
- Generate aggregate, non-identifiable statistics for our own research and promotional materials.
We do not use raw, individual-level personal data for marketing purposes.
3. Who Can Access Your Information
Access to personal data is limited to:
- Community managers responsible for your community.
- Group managers overseeing your group.
- Mentors or ministry staff providing direct support.
- The user themselves.
We do not share your personal data with outside organizations, advertisers, or analytics services, and we do not store data outside the United States.
We only disclose personal information when required by law, court order, or valid legal process. We do not voluntarily share user information for any other reason.
4. Data Retention
- Survey responses are retained indefinitely.
- Users may request that responses be anonymized, which permanently removes the link between the responses and the user's identity.
- Anonymization requests can be made via email or the contact form, and take effect immediately for any future-generated reports.
5. Your Rights
All users may request to:
- Access their data.
- Correct their data.
- Anonymize or delete identifiable data.
- Receive a copy of their data (data portability).
To exercise these rights, users may contact us by email, contact form, or written request. Requests are processed promptly.
6. Data Security
- Data is stored in a secure database with restricted access to YFI organization members.
- Data is not encrypted at rest.
- We do not currently log individual record access.
7. Cookies and Tracking
- YFI uses only cookies that are strictly necessary for the functionality of the tool.
- No cookies are used for advertising or analytics.
- Since no non-essential cookies are used, there is no opt-out option.
8. Policy Changes
- We may update this Privacy Policy at any time.
- If changes are made, we will notify administrative users via mass email.
- We cannot directly notify respondents.
- Changes apply to all existing and future data.
